What is Office 365 Group?

A Microsoft 365 group is a team of people who collaborate using email, calendars, and various resources within an organization. Each member of the group can create collections of resources and share them with others.

Once a member is added to the group, they automatically receive all relevant permissions assigned to the group, eliminating the need for manual permission assignments.

Why Is My Office 365 Group Invisible in Outlook?

Several scenarios can arise since it is a cloud platform, plus the setup and configuration can also impact the synchronization issue. Other possible issues:

  • AutoDiscovery XML is not updated
  • Disable Cache Exchange mode
  • Unified Group
  • Corrupted Outlook data file

How to Resolve Missing Office 365 Groups in Outlook?

Now we understand the reasons behind Microsoft 365 Groups not showing in Outlook. Let’s follow the step-by-step process to eliminate this and use the group in Outlook again.

Note: Before proceeding, ensure that you are a member of the group otherwise all the efforts are useless for you.

Solution 1: Syncing and Setting Issue

A little push may solve your problem. To do so restart your Microsoft Outlook wait a few minutes then check the group.

If it is still not available, click on Send/Receive all folders and wait for syncing.

Next, check the configuration setting: File > Options > Advance

Check to “show all groups” is enabled.

Note: If you are an admin then you can also re-create or add a group. If it is not available.

Solution 2: Update AutoDiscover XML or SMTP address

During the Outlook configuration, AD XML (A dynamically generated XML file) file is automatically setup and allows access to the email, folder, and group. To check the file, navigate to %LocalAppData%\Microsoft\Outlook\

SMTP address like:
AutoD.<Office365GroupName>@contoso.mail.onmicrosoft.com

The email address (<Office365GroupName>) you have used to create a group must be an object in Exchange. Otherwise, the AutoDiscover Request is terminated because the object is not created in the on-premises system.

Solution 3: Turn off: Cache Exchange Mode

Outlook users might be fully aware of the Cached Exchange Mode. It allows saving a copy of the mailbox to a local drive and accessing it in offline mode in the absence of an Exchange server.

When it is off, you are directly connected to the Exchange server which can allow you to access the resources in real-time.

Follow these steps to disable it:

  • Go to File > Account Settings >> Account Settings.
  • Exchange or Microsoft 365 > select Change.
  • Uncheck “Use Cached Exchange Mode to download email to an Outlook data file.”
  • Click More Settings > Advanced Tab.
  • Uncheck: Microsoft Exchange Advanced

  • Restart Outlook.

Solution 4: Run Unified Group

When the above method is not working then run the unified group command in PowerShell.

As we know there are various types of cmdlet commands that we can use on Powershell to manage Office 365 resources.

Set-UnifiedGroup groupname -HiddenFromExchangeClientsEnabled:$false

It also helps you to join and leave the group.

Solution 5: Corrupted Outlook Profile

Once the Outlook data file (.ost) is corrupted then you can convert the file in PST file format or create a new OST file.

To generate a new one, follow the below steps:

  • Open Control Panel > Mail.
  • Select the Data Files tab > Email Account.
  • Follow the OST file location and open it in a new File Explorer window.
  • Rename the OST file with .bak extension
  • Close all and open Outlook.

This will automatically create a new OST file in the default location with the fresh Exchange Server data.
